iskoniq Privacy Policy
Version 1.0 ยท Effective October 12, 2026
1. Who we are
iskoniq is a service that analyses recordings of coaching sessions and creates reports for coaches and their clients. The company that provides the service and charges for it is named on your checkout page and on your invoice ("iskoniq", "we", "us"). For anything about your personal data, write to support@iskoniq.com.
2. Who this policy is for
- People who visit iskoniq.com or app.iskoniq.com
- People who fill in our forms, such as Book a demo, the founding application and the sample report request
- Coaches who use iskoniq, and the people they add to their account
- Clients of coaches, whose sessions coaches upload, and who may log in to see their own reports
- Managers that an organisation adds on the Business plan
3. Our two roles
- For our website, forms, coach accounts, billing and support, we decide how data is used. We are the controller, and this policy applies in full.
- For session recordings, transcripts, reports, coach notes, chat with a report, and client and manager logins, the coach or the coach's organisation decides how data is used. We process this data only on their instructions. A data processing agreement is available on request.
If you are a coach's client, contact your coach first. If you contact us, we pass your request to your coach and help them answer it.
4. What we collect
Forms: name, email, phone (optional), country and city, your area of work, how many clients you work with, what you want to use iskoniq for, and anything you write to us.
Your account: name, email, login details, organisation, and the logo and brand colours you upload.
Billing: your plan, billing details and payment status. Card details go directly to our payment provider. We do not receive or store full card numbers.
Communication: emails, messages and notes from calls with us.
Automatically: device and browser type, IP address, pages visited, time of visit and error logs, to run the service and keep it secure. Cookies are covered in our Cookie Policy.
Session data (processed for the coach): audio and video recordings, transcripts, speech measurements such as pace, pauses, filler words, vocabulary, volume and pitch variation, written insights and practice drills, coach notes, questions and answers in the chat with a report, progress over time, and the name and email of clients and managers who get a login.
People sometimes mention sensitive things in a session, such as health. iskoniq is not designed to collect that kind of information, and coaches should avoid uploading such sessions unless they have a legal basis for it.
5. Why we use data, and on what legal basis
- Replying to a demo request, founding application or sample report request: steps you asked for before a contract.
- Running your account and providing the service: contract.
- Billing, invoices and accounting records: contract and legal obligation.
- Security and preventing abuse: legitimate interests.
- Website analytics: your consent through the cookie banner.
- Support: contract or legitimate interests.
- Defending legal claims: legitimate interests.
For session data, we act only on the coach's instructions, to produce the analysis and reports they asked for.
6. What we do not do
- We do not sell personal data, and we do not share it for advertising.
- We do not use session data to train AI models, ours or anyone else's. Our providers process it only to deliver the service to us.
- We do not identify or infer emotions or intentions from voice, face or body. Voice measurements describe how someone speaks, such as pace, pauses, volume and pitch variation. They are not a reading of how anyone feels.
- For video files, we analyse only the audio track and the transcript. We do not analyse faces, expressions, gestures or body movement.
- To tell speakers apart within one recording, the transcription labels parts of it, for example Speaker 1 and Speaker 2. This happens only within that recording. We do not create or keep voiceprints, we do not match voices across recordings, and we do not use voice to identify anyone.
- We do not make decisions about people based only on automated processing. Reports support the coach's judgement, and the coach decides what the client sees.
7. How the AI parts work
Recordings are transcribed automatically. We calculate speech measurements from the audio and the transcript. Written insights, practice drills and answers in the chat with a report are generated by an AI model. Every report stays in review until the coach publishes it. The chat with a report is labelled as AI in the product.
8. Who sees data
- The coach and the team members they add.
- A client sees their own published reports if the coach gives them a login.
- On the Business plan, managers the organisation adds can see published reports for their team. Coaches and organisations must tell clients about this before recording.
- Our service providers, who process data on our behalf for hosting and storage, transcription, AI processing, email and customer management, and payments. The current list is available on request at support@iskoniq.com.
- Professional advisers under confidentiality, and authorities when the law requires it.
We never give personal data to data brokers or advertisers.
9. International transfers
Some of our providers process data outside your country, including in the United States. Where that happens, we use a lawful safeguard, such as an adequacy decision, the EU-US Data Privacy Framework where the provider is certified, or standard contractual clauses. You can ask us for details.
10. How long we keep data
- Recordings: each recording is deleted automatically 12 months after upload, or earlier if the coach deletes it.
- Transcripts and reports: while the coach's account is active, or until the coach deletes them.
- After an account is cancelled: all data stays available for export for 30 days and is then deleted. Backups are overwritten within 30 days after that.
- Form submissions that do not lead to an account: 12 months after our last contact.
- Billing records: as long as tax and accounting law requires.
- Records of your acceptance of our Terms: at least 3 years.
- Security logs: up to 12 months.
- Your cookie choice: 12 months.
11. Security
Access to production systems and session content is limited to people who need it, for example when a coach asks for help or to fix a reported fault. If a personal data breach is likely to put people at risk, we notify the competent authority where the law requires it, and we inform affected coaches without undue delay.
12. Your rights
You can ask to access, correct, delete or export your data, to restrict or object to its use, and to withdraw consent at any time. Write to support@iskoniq.com. We answer within 30 days, or tell you why we need more time. Requests are free. We may ask you to confirm your identity.
Clients of coaches should send requests to their coach first.
You can also complain to the data protection authority where you live or work. We would like to hear from you first.
13. Children
iskoniq accounts are for adults. Coaches must not upload a session with anyone under 18 without written consent from a parent or guardian.
14. Changes
If we make a material change, we tell you by email or in the product at least 30 days before it takes effect.
